These Voices participation terms & conditions
1. Eligibility
1.1 Voices are open to individuals aged 18 years or over, each with a unique email address.
1.2 You must be based in the UK and Republic of Ireland. Voices will be open to international professionals in due course.
1.3 You may or may not be a CII and PFS member.
1.4 Access is restricted to those who complete the initial screening survey and meet CII and PFS participation criteria.
1.5 Access may be suspended or withdrawn if you no longer meet eligibility requirements or become inactive, i.e., participate in no activity during a quarter period. Not abiding by standards of conduct should be a reason to withdraw or suspend an account. Where access is withdrawn, personal data will be retained and deleted in accordance with clause 6.7 and the applicable Privacy Notice.
2. Purpose and participation
2.1 Voices is an ongoing volunteer initiative where participants are invited to take part in research, surveys, polls, focus groups, and discussions on topics relevant to CII and PFS members and the wider profession and to help further the Institute’s purpose of driving public trust in insurance and personal finance.
2.2 Participation is entirely voluntary. You may choose not to take part in any activity you are invited to join and declining to participate in any activity will not affect your membership or relationship with the CII or PFS.
2.3 The CII and PFS may use the information in clause 2.1 including research results and any feedback or suggestions you provide, to inform the development and enhancement of CII and PFS products, services, and initiatives. All feedback will be used solely for research purposes and will not be used for sales or marketing communications. The legal basis for which your personal data is processed for these purposes is set out in clause 6 and the applicable Privacy Notice.
2.4 Voices activity will be operated in accordance with The Market Research Society Code of Conduct.
3. Standards of conduct
3.1 Participants must use Voices in a respectful, professional, and lawful manner. In particular, you must not:

Post or share material that is defamatory, discriminatory, obscene, abusive, threatening, or otherwise unlawful.

Harass, bully, or cause distress to another member.

Use Voices for commercial promotion, solicitation, or spamming.

Share confidential or proprietary information without authorisation.

Seek or provide professional advice (including financial, legal, or investment advice).
4. Content and intellectual property
4.1 You retain ownership of any content you post.
4.2 By posting, you grant the CII and PFS a non-exclusive, royalty-free licence to host, use, reproduce, and share your content within Voices.
4.3 You are responsible for ensuring your content does not infringe third-party rights (e.g., copyright, trademarks, privacy).
4.4 Voices participants must not disclose or distribute research project materials, findings, or discussions to third parties without written consent from the CII and PFS.
5. Moderation and enforcement
5.1 All posts will be moderated by CII and PFS.
5.2 The CII and PFS reserve the right to suspend or terminate access if these terms are breached.
6. Privacy and data use
6.1. The CII and PFS would process personal data collected through your registration and participation on this platform in accordance with UK data protection law, the applicable Privacy Notice, and the following legal bases under UK GDPR:

Consent: by completing registration and creating an account, you consent to your personal data being processed for the purpose of platform access and participation. You may withdraw your consent at any time by deleting your account via the account settings page. This will mean your account is closed and you will no longer be able to access the platform.

Legitimate Interests: to facilitate member networking and professional community engagement, and to maintain the safety and integrity of the platform.
6.2 By registering, you also consent to receiving platform related surveys and emails notifications. You may unsubscribe from these communications at any time using the unsubscribed link displayed via your account settings. This would not affect your account or platform access.
6.3 If your profile is set on public, your profile information will be visible to other registered participants (e.g., name, role, employer, profile picture, membership status) and any content you post. You should consider this before completing your profile. You can review and update what is displayed at any time via your account settings.
6.4 If your profile is set in public, content you post on the platform, including forum contributions and discussion responses will be visible to other participants alongside your name.
6.5 Research responses will be treated as confidential. Individual responses identifying you will not be published externally without your consent.
6.6 This platform is powered by QuestionPro who acts as a data processor on behalf of the CII and PFS. QuestionPro processes your data only on our instructions and is contractually bound to appropriate data protection standards.
6.7 Your personal data will be retained in QuestionPro for as long as your Voices account remains active. If you delete your account, your data will be deleted from QuestionPro. Please note that deleting your account on QuestionPro does not affect your CII/PFS membership account.

7. Incentives
7.1 Active participants will be entered monthly into a prize draw to win a £50 gift card (or equivalent in local currency) or a £50 charity donation (UK only). Active participants are those who take part in any activity within Voices including polls, forum conversations and surveys within the calendar month during which the prize draw takes place.
7.2 In addition, participants in focus groups or interview-based research will each receive a £50 gift card (or equivalent in local currency) or charity donation (UK only).
8. Changes and termination
8.1 You may cancel your Voices account at any time by emailing insight@cii.co.uk, or by deleting it on the ‘My Account’ page.
8.2 The CII and PFS may remove you from the Voices Platform or refuse entry to anyone in breach of these Terms.
8.3 The CII and PFS reserve the right to amend, suspend, or withdraw Voices where necessary.
8.4 Updates to these Terms will be communicated, and continued participation will constitute acceptance.
8.5 The CII and PFS reserve the right to remove inactive participants from Voices; inactive participants are those who have not taken part in any activity within a quarter period.
9. Legal framework
9.1 These Terms are governed by English law.
9.2 Participants agree to the exclusive jurisdiction of the English courts.
